1. Introduction

Welcome to Wusul. We are a Recruitment Operations Management Software designed to empower licensed recruitment agencies to manage the entire international worker deployment lifecycle — from candidate sourcing and document collection to final selection and overseas placement.

Our Mission:

Wusul bridges the gap between local recruitment agencies and overseas employers. We provide a secure, centralized platform where agencies can:

  • Upload and manage candidate interview videos, photos, and passport documents.
  • Share comprehensive candidate profiles (skills, experience, relatives, contact information).
  • Track application statuses and generate recruitment analytics.
  • Facilitate worker selection and deployment to foreign countries.

Our Commitment to Privacy:

We operate with a strict “Privacy First” approach. We collect and process candidate data strictly for the purpose of international recruitment. All videos are stored privately on YouTube, and all other documents are securely stored in our encrypted cloud infrastructure. We do not sell, rent, or misuse your data.

Scope of this Policy:

This Privacy Policy explains what information we collect through the Wusul platform, why we collect it, how we store it, who has access to it, and what rights you have regarding your data. This policy applies to all users of our platform, including recruitment agencies, candidates, and overseas employer partners.

2. Information We Collect

Because Wusul handles the full recruitment lifecycle, we process a comprehensive set of candidate and agency data. We categorize this data into the following types:

A. Agency Account Data (Business Contacts)

  • What we collect: Agency name, contact person's name, business email address, phone number, company registration details, and billing information (if applicable).
  • Why: To set up and manage your agency's account, provide customer support, send service notifications, and process payments.
  • How provided: Provided directly by the agency during registration.

B. Candidate Personal Data (Submitted by Agencies)

We do not directly collect data from candidates. Instead, recruitment agencies using our platform submit candidate information on behalf of the workers they represent. This includes:

Video RecordingsInterview videos, language assessments, or skill demonstrations uploaded as part of the application package.

C. Automated Technical Data (Standard Analytics)

  • What we collect: IP addresses, browser type, device information, session logs, and platform usage patterns.
  • Why: To maintain system security, debug errors, improve user experience, and audit platform activity.
  • Legal basis: Legitimate interest to ensure the security, stability, and continuous improvement of our platform.

3. How We Use Your Information

We use the collected data solely for the purpose of operating our end-to-end recruitment management platform:

  • To facilitate worker selection: Provide overseas employer partners with complete, verified candidate profiles (including videos, documents, and qualifications) to help them select the right workers for open positions.
  • To store and organize documents: Securely store candidate passports, photos, and other supporting documents in a structured, searchable format.
  • To share secure previews: Generate secure, time-limited links allowing authorized employers to view candidate profiles and videos without exposing data to the public.
  • To track application progress: Allow agencies to update and monitor candidate status (e.g., from “Under Review” to “Selected” to “Deployed”).
  • To provide analytics: Offer recruitment insights (e.g., selection rates, processing times, worker demographics) to help agencies optimize their operations.
  • To communicate with users: Send notifications about application updates, platform changes, or important announcements.
  • To comply with legal obligations: Respond to regulatory requests or lawful audits.

Important Note on Videos: All videos uploaded via the Wusul platform are set to “Private” on YouTube. They are not visible on YouTube's public search, the uploader's public channel, or any public video feeds. Only users who receive a specific, secure link (generated by Wusul) can view them.

4. How We Share Information

We treat your data with the highest confidentiality. We only share data with the following parties for the explicit purpose of international recruitment:

A. Overseas Employer Partners (Our Clients):

  • We share the full candidate profile (videos, photo, passport, skills, experience, relatives/contact, and application status) with the specific overseas employer who is reviewing that candidate for a job opportunity.
  • Access is restricted via secure, role-based logins and expiring links.

B. YouTube / Google (Data Processor for Videos):

  • We use the YouTube Data API v3 to upload and store candidate interview videos.
  • Google's Privacy Policy: Google handles video data according to their own privacy policy, which you can review here: Google Privacy Policy.
  • YouTube API Services: Our use of the YouTube API is governed by the YouTube API Services Terms of Service.

C. Cloud Infrastructure Providers (Data Processors):

  • We use secure cloud hosting services to store candidate metadata, documents, and images. These providers are contractually bound to protect your data with industry-standard security measures.

D. Legal Authorities:

  • We may disclose information if required by law or if we believe in good faith that such action is necessary to comply with a legal obligation, protect the rights of Wusul, or protect the safety of our users or the public.

We do NOT:

  • Sell, rent, or trade any candidate or agency personal data to third-party marketers.
  • Make any videos, photos, or documents publicly available.
  • Share data with any third party outside the authorized recruitment workflow.

5. Data Storage and Security

A. Video Storage:

  • Videos are stored on YouTube's infrastructure (Google servers). We do not store raw video files on our own servers.

B. Document & Metadata Storage:

  • Candidate metadata (names, passports, photos, skills, experience, relatives, status, and analytics) and agency account data are stored in our secure, encrypted database hosted on reputable cloud infrastructure.

C. Security Measures:

  • Encryption: All data transmitted between your browser and our platform is encrypted using SSL/TLS (HTTPS). Data at rest is encrypted.
  • Access Control: Only our 2-person administrative team has backend access to the platform and the YouTube channel. Role-based access controls limit what agency and employer users can see.
  • API Security: We securely store YouTube API credentials (OAuth refresh tokens) in encrypted environment variables, never hard-coded in source code.
  • Authentication: All users access their dashboards via secure, password-protected login sessions.

6. Data Retention and Deletion

We retain your data only for as long as necessary to fulfill the recruitment process and our legal obligations.

A. Recruitment Agencies:

  • Account data is retained for as long as your agency actively uses our platform. After 12 months of inactivity, we may reach out to confirm whether you wish to keep your account active. If no response, we may deactivate the account.

B. Candidate Data (Videos, Documents, Metadata):

  • Candidate profiles and associated data are retained for the duration of the active recruitment cycle (typically 6 to 12 months, depending on deployment timelines).
  • Deletion upon request: Once the recruitment process is complete, or upon request from the submitting agency, we permanently delete the video from YouTube, remove all documents from storage, and erase metadata from our database.
  • Candidate Rights: If you are a candidate and you wish to have your data deleted, please contact the agency that submitted your application directly (they are the Data Controller). If the agency confirms the request, we will process the deletion within 30 days. Alternatively, you may email us directly at wusul.pro@gmail.com, and we will coordinate with the relevant agency.

C. YouTube/Google Retention:

  • YouTube may retain copies of videos according to their own data retention policies. However, our API calls delete the video files from YouTube permanently upon request.

7. Your Rights (User Rights)

Depending on your role (Agency, Employer, or Candidate), you have the following rights regarding your data:

  1. Right to Access: Request a copy of the data we hold about you.
  2. Right to Rectification: Request correction of inaccurate or incomplete data.
  3. Right to Erasure (“Right to be Forgotten”): Request deletion of your personal data, videos, or documents.
  4. Right to Restrict Processing: Request that we stop processing your data in certain ways.
  5. Right to Data Portability: Request a copy of your data in a structured, machine-readable format.

How to exercise these rights: Please contact us at wusul.pro@gmail.com. We will respond to your request within 30 days. For candidates, please note that we may need to verify your identity and coordinate with the recruitment agency that submitted your application to prevent fraudulent or unauthorized requests.

8. Cookies and Tracking Technologies

We use minimal cookies to enhance user experience and maintain session security:

  • Essential Cookies: Required for login functionality, platform navigation, and maintaining secure sessions.
  • Analytics Cookies: We may use anonymized analytics (like Google Analytics) to understand platform usage trends. These do not track individual users or specific candidate content.
  • Preferences: You can disable cookies in your browser settings; however, this may affect certain functionalities of the platform.

9. Children's Privacy

Our platform is strictly for professional recruitment use and handles data of adult job seekers. We do not knowingly collect or process data of children under the age of 18. If you believe we have inadvertently collected data of a minor, please contact us immediately to have it removed.

10. YouTube API Services – Data Usage (Google-Specific Compliance)

In full compliance with Google's API Services User Data Policy, we explicitly state:

  • Data Collection: Our application only uses the YouTube API to upload candidate interview videos to a single, dedicated private channel owned and operated by Wusul. We do not collect, download, or store any data from users' personal YouTube accounts.
  • Data Use Limitation: The video data uploaded via the YouTube API is used strictly for the purpose of candidate selection and recruitment workflow (sharing with authorized employers).
  • User Control: You have complete control over your data. You can request deletion of videos at any time (see Section 6).
  • Audit Compliance: We are committed to complying with Google's audit requirements regarding the use of the YouTube Data API and maintain accurate records of our data practices.

11. International Data Transfers

Because we use YouTube (Google) and cloud infrastructure providers that operate globally, your data may be transferred to and processed in countries outside of Ethiopia (including the United States and Europe). We ensure that such transfers comply with applicable data protection laws and that our providers offer adequate safeguards for data protection.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or service updates. If we make significant changes, we will notify you via email or through a notification on our platform. We encourage you to review this policy periodically.

13. Browser Extension (Wusul Chrome Extension)

The Wusul Chrome extension is an optional companion tool that helps agency staff transfer worker data between the Wusul platform and external visa, labour and medical portals. This section describes the data the extension handles.

Data the extension handles

  • Worker profile data you copy from a Wusul worker page (for example name, passport number, date of birth, contact and address details, employer/sponsor details and application number). It is stored locally in your browser's extension storage so it can be pasted into a portal form.
  • Employee records and photos you extract from Enjaz Plus, stored locally in your browser until you send them to your Wusul account.
  • Session credentials used only to authenticate requests: the extension relies on your existing Wusul login session and the Enjaz Plus session token from the page you are already logged in to. It does not collect your passwords and does not store these tokens.

How the data is used and shared

  • The extension sends data only to (a) the Wusul server you are signed in to, when you import extracted records, and (b) Enjaz Plus, when you extract records you have access to. It does not send your data to Wusul's developers or any other third party.
  • The extension does not sell data, does not display advertising, and does not track your browsing activity.

Storage and deletion

  • Copied worker profiles are held in your browser's extension storage; you can delete any stored worker using the delete control in the extension. Extracted Enjaz data is cleared after a successful import, and all locally stored extension data is removed when you uninstall the extension.
  • Data imported into Wusul is governed by the rest of this Privacy Policy.

Permissions

  • The extension requests access only to Wusul, Enjaz Plus, and the specific government/visa portals it fills (Visa MOFA, Musaned/Tawtheeq, LMIS and Wafid). It does not access any other website.
